Knowify for Contractors is a suite of tools designed to help plumbers and HVAC contractors manage their business, including service and long-term contract work. The automated system syncs with QuickBooks, ensuring operations and accounting stay updated. 

“Guys do a great job of costing up their jobs on Excel,” says Dan deRoulet, co-founder, Knowify. “But once you get all the information, when you get started, you really have no idea how you’re doing against your initial budgets. No one has the time or inclination to take all the timecard data, all the purchasing data and all the change orders and reconcile it against the initial budget.” 

Knowify makes that kind of reconciliation easy and provides results in real time. Applications include major residential contractors and specialty plumbers, including fire suppression installers, as well as service and dispatch. 

“We start with the job-costing side and make it easy to build on estimates so you know how much the job is going to cost you,” deRoulet says. “We also handle the bid and contract management side.” 

The service ticket/dispatch displays appointments and available resources, enabling new appointments to be booked in seconds. Dispatch teams can view work orders, check in and out of jobs, record comments and mark jobs finished using a mobile app. 

“In our system, the guy in the field who has permission to do this can, on a tablet, fill in the contract documents, add a change order and send it out for an e-signature,” he says. “He can literally say, ‘Send it to the general contractor,’ or whoever might have the authority to approve it.” 

Assembled in PDF format, the change order is sent by email to the contractor who can click on a link to approve it. 

“Once signed, you know when it was approved, and all the reconciliation is done automatically,” deRoulet says. 

Job management tools can prepare bids or change orders and submit them for e-signature, track resource schedules and worker timecards. On-site foremen can punch in workers from the job site. 

The system enables purchase orders to be prepared and sent via email, as well as standard invoices or AIA-style applications for payment. 

Knowify is a SaaS (software as a service) cloud-based, tablet-optimized software program. Users pay a monthly fee based on the number of licenses required. Updates are automatically available to subscribers. 212/233-3230; www.knowify.com.
